Before You Book

At Melbic Tours, we believe every holiday should be as unique as the traveller. As a proudly Namibian company, we combine local knowledge with personalised service to create unforgettable self-drive and guided adventures. From your first enquiry until you return home, our experienced team is here to assist with expert advice, carefully selected accommodation, reliable vehicles and 24/7 support throughout your journey.

Namibia is one of the world’s premier self-drive destinations. With well-maintained roads, breathtaking scenery and relatively little traffic, exploring at your own pace is both safe and rewarding. A self-drive holiday gives you the freedom to stop whenever you wish, spend more time at places you love and experience Namibia on your own schedule.

We recommend booking your tour at least 6 to 12 months in advance, especially if you plan to travel during the peak season between June and October. Popular lodges and camps often book out well in advance, and early booking ensures the best choice of accommodation and travel dates.

Your booking is confirmed once we have received the required deposit and all necessary booking documents have been completed. Once your booking is confirmed, we’ll send you a detailed itinerary, travel information and everything you need to prepare for your Namibian adventure.

A deposit is required to confirm your booking, with the remaining balance payable before your arrival. We accept secure online payments and international bank transfers. Please note that any bank charges or exchange rate differences charged by your bank remain the traveller’s responsibility.

Absolutely. Every itinerary we create can be tailored to suit your interests, budget and travel style. Whether you prefer luxury lodges, camping, photography, wildlife, adventure activities or cultural experiences, we’ll design an itinerary that perfectly matches your expectations.

No. We specialise in tailor-made self-drive holidays, vehicle rentals and accommodation within Namibia, Botswana, South Africa (Cape Town) and Victoria Falls. Once your international flights are booked, we’ll ensure your itinerary fits perfectly with your travel schedule.

Preparing for Namibia

Visa requirements depend on your nationality. Some travellers are exempt from requiring a visa, while others are eligible to apply for a Visa on Arrival or an e-Visa before travelling. We recommend checking the latest entry requirements before your departure, as visa regulations may change.

Your passport should be valid for at least six months beyond your date of entry and have sufficient blank pages for immigration stamps. You may also be asked to provide proof of onward or return travel and accommodation.

For the latest information or to apply online, visit the official Namibian immigration portal:

This version keeps the information accurate without listing specific countries that may change over time. It also directs visitors to the official government website for the latest requirements.

No vaccinations are mandatory for most travellers visiting Namibia. However, we recommend that your routine vaccinations are up to date. Depending on your travel plans and country of origin, your doctor may also recommend vaccinations such as Hepatitis A, Hepatitis B or Typhoid. If you are arriving from or have recently travelled through a yellow fever risk country, a valid Yellow Fever vaccination certificate may be required.

Yes. Namibia is considered one of Africa’s safest travel destinations and is well suited to self-drive holidays. As with any destination, we recommend taking normal precautions such as keeping valuables out of sight, locking your vehicle and avoiding isolated areas after dark.

Malaria is only present in certain northern regions of Namibia, particularly during and after the rainy season (November to May). Popular destinations such as Windhoek, Sossusvlei, Swakopmund, the Fish River Canyon and the Kalahari are considered low-risk. If your itinerary includes Etosha National Park, the Zambezi Region or northern Namibia, please consult your doctor regarding appropriate malaria precautions before travelling.

Namibia’s official currency is the Namibian Dollar (NAD), which is linked to the South African Rand (ZAR) at a 1:1 exchange rate. Both currencies are accepted throughout Namibia, although change is usually given in Namibian Dollars.

Yes. Visa and Mastercard are widely accepted at most hotels, lodges, restaurants, supermarkets and fuel stations. We recommend carrying a small amount of cash for purchases in remote areas, local markets or where card facilities may not be available.

Most travellers find that N$2,000 to N$4,000 per person in cash is sufficient for smaller purchases, tips, local crafts and places where card facilities may not be available. The amount you carry depends on your travel style, as most accommodation, restaurants and fuel stations accept credit cards.

Tap water is generally safe to drink in most towns, cities and established lodges throughout Namibia, we do however not recommend drinking tap water. In very remote areas, bottled or filtered water may be provided instead. If you are unsure, simply ask your accommodation provider.

English is Namibia’s official language and is widely spoken throughout the country, particularly within the tourism industry. Most people working at lodges, restaurants, activity providers and national parks speak English.

Afrikaans and German are also commonly spoken, while Namibia is home to many indigenous languages, including Oshiwambo, Otjiherero, Khoekhoegowab and Damara/Nama.

As a Namibian company, the Melbic team communicates in English, as well as German & French – if the German and French agents are available.

Namibia primarily uses Type D and Type M three-pin plug sockets with a standard voltage of 220–240V. We recommend bringing a universal travel adapter so you can charge your electronic devices throughout your journey.

We recommend packing:

  • Comfortable lightweight clothing
  • A warm jacket or fleece for early mornings and evenings
  • Comfortable walking shoes
  • Hat and sunglasses
  • Sunscreen and lip balm
  • Binoculars for wildlife viewing
  • Camera and spare memory cards
  • Personal medication
  • Insect repellent
  • Swimwear for lodges with pools
  • A reusable water bottle
  • Universal travel adapter

Laundry facilities are available at many lodges, so you don’t need to overpack.

Drone regulations in Namibia are strict. Flying drones is prohibited in National Parks, many conservation areas and around airports without the necessary permits. Some private lodges also prohibit drone use to protect wildlife and the privacy of other guests. If you intend bringing a drone, please check the latest regulations before travelling and always obtain permission where required.

Driving in Namibia

Yes. Namibia is widely regarded as one of the best self-drive destinations in the world. Roads are generally well maintained, traffic is light outside the towns and cities, and road signs are clear. While many roads are gravel, they are suitable for self-drive travel when driven with care and at appropriate speeds.

In Namibia, vehicles drive on the left-hand side of the road, with the steering wheel on the right-hand side of the vehicle.

It depends on your itinerary. Many of Namibia’s most popular destinations, including Windhoek, Sossusvlei, Swakopmund, Etosha National Park, the Kalahari and the Fish River Canyon, are easily accessible with a standard SUV or 2WD vehicle.

However, we highly recommend a 4×4 if you plan to visit more remote regions such as Damaraland, Kaokoland, the Skeleton Coast, or other areas with rough gravel roads, rocky terrain or deep sand. A 4×4 offers improved ground clearance, greater comfort and enhanced safety on challenging roads.

If you’re unsure which vehicle is best for your journey, our experienced team will gladly recommend the most suitable option based on your itinerary, travel style and budget.

A 4×4 isn’t just for off-road driving—it provides extra comfort, stability and peace of mind on Namibia’s gravel roads, making it the preferred choice for many travellers.

Yes. Your original driver’s licence is accepted provided it is valid, in English, includes your photograph or passport/identification number, and is signed. If your licence is issued in another language, an International Driving Permit is recommended. Please note that certified copies or temporary driving permits are not accepted.

Police roadblocks are common throughout Namibia and are part of routine traffic and safety checks. Remain courteous, follow the officer’s instructions and have your driver’s licence, passport (if requested). If you are unsure about anything, you are welcome to contact Melbic for assistance.

The driver is responsible for complying with all road traffic laws and for the payment of any fines incurred during the rental period. If Melbic receives a fine after your rental has ended, it may be forwarded to you together with any applicable administration charges in accordance with our rental terms.

While many motorists genuinely require assistance, your personal safety should always come first. If you feel uncomfortable stopping, continue to the nearest town, police station or safe location and report the situation. Any decision to stop and assist another road user is entirely at your own risk. Melbic cannot accept responsibility for any incident arising from your decision to do so and recommends that you only stop if you are confident the situation is safe.

For your safety, we recommend a maximum speed of 80 km/h on gravel roads, even if higher speed limits are displayed. Gravel roads can change quickly due to weather and grading, so always adjust your speed to the road conditions.

Wildlife and livestock are often active after sunset and are difficult to see on dark roads. To reduce the risk of accidents, we strongly recommend avoiding long-distance travel between 19:00 and 06:00. Damage occurring during these hours may also affect your Collision Damage Waiver cover.

Remain calm and stop in a safe location. All Melbic vehicles are equipped with the tools needed to change a tyre. If you are unable to do so safely, contact our office for assistance. We will advise you on the best course of action.

You should not continue driving on a flat tyre. Driving on a deflated tyre can damage the tyre, wheel rim and suspension. Stop as soon as it is safe to do so, change the tyre if you are able, or contact Melbic for assistance.

Contact Melbic immediately using the emergency contact numbers provided during your vehicle handover. Our team will assist you and arrange the most appropriate solution. Replacement vehicles are subject to availability and the nature of the breakdown.

No. Melbic vehicles may not be used to tow another vehicle unless specifically authorised by Melbic. Attempting to tow another vehicle may result in damage that is not covered under your rental agreement.

No. Melbic rental vehicles may not be used to tow trailers, caravans or any other vehicles unless specifically authorised in writing.

Stop only if it is safe to do so. Check that everyone is safe, switch on your hazard lights and contact Melbic as soon as possible. If there is significant damage or injury, notify the police and follow their instructions. Never leave the scene of an accident involving injury.

Your safety comes first. If anyone is injured, contact the emergency services immediately. Report the accident to the police and to Melbic within 24 hours, obtain an official accident report, and do not admit liability. We will guide you through the next steps.

Yes, fuel stations are available in most towns throughout Namibia. However, distances between towns can be considerable, especially in remote areas. We recommend refuelling whenever your tank reaches half-full and before travelling into more isolated regions.

Do not start the engine. If you realise the mistake before starting the vehicle, contact Melbic immediately for assistance. Starting the engine after filling with the wrong fuel can cause serious engine damage, and the associated repair costs may be the responsibility of the renter.

Running out of fuel can result in significant delays, particularly in remote areas where fuel stations are far apart. We recommend refuelling whenever your tank reaches half full. If you run out of fuel, contact Melbic immediately and we’ll advise you on the safest solution.

Please note : Driving a diesel vehicle until the tank is completely empty can introduce air into the fuel system, which may prevent the vehicle from restarting and can lead to mechanical damage. Any costs related to recovery, repairs, or system priming will be for the renter’s account.

Mobile reception is good in towns and along many main roads. However, coverage may be limited or unavailable in remote areas, national parks and some desert regions. We recommend downloading offline maps prior to your trip, and you may consider renting a satellite phone from us for added peace of mind, especially when travelling in remote areas.

No. Melbic vehicles may not be driven to Sandwich Harbour unless specifically authorised. This route requires specialised knowledge and equipment, and damage incurred there is not covered by the Collision Damage Waiver. We recommend joining a guided excursion with a licensed local operator instead.

No. Driving on Van Zyl’s Pass is prohibited with Melbic rental vehicles. This route is extremely challenging and falls outside the permitted driving areas.

Yes, provided they are registered as an additional driver before the rental begins. Only drivers listed on the Rental Agreement may drive the vehicle. Additional driver fees may apply.

Yes. All Melbic rental vehicles are fitted with GPS tracking devices for vehicle security and fleet management. Tampering with or damaging the tracking device may result in a penalty fee.

Collision Damage Waiver (CDW)

The Collision Damage Waiver (CDW) is an optional protection plan that reduces your financial liability for accidental damage to the rental vehicle. Melbic offers four CDW options, allowing you to choose the level of cover that best suits your travel plans.

The best Collision Damage Waiver (CDW) option depends on your travel plans, destination and the level of cover you prefer. Melbic offers four CDW options, each with different levels of protection and excess amounts.

Our travel consultants will explain the differences and help you choose the option that best suits your itinerary and budget.

Please note that if you plan to travel into Botswana or Cape Town (South Africa), CDW Option 4 is required, or alternatively, you may leave a refundable security deposit equivalent to the standard excess before departure.

For full details of each CDW option, please refer to our Vehicle Booking Terms & Conditions or speak to one of our consultants before confirming your booking.

Certain items and situations are excluded from all CDW options. These include:

  • Vehicle rollovers or write-offs
  • Reckless or negligent driving
  • Driving under the influence of alcohol or drugs
  • Water damage
  • Damage caused by unauthorised drivers
  • Camping equipment, tents and awnings
  • Wheel rims
  • Personal belongings
  • Third-party damage
  • Recovery or towing costs
  • Driving through sandstorms (unless covered under CDW Options 3 or 4)

Vehicle rollovers are among the most serious and costly types of accidents, often resulting in extensive vehicle damage and recovery costs. Because of the significant financial risk involved, rollover damage is excluded from all CDW options. We encourage all travellers to drive cautiously, particularly on gravel roads, and to adhere to the recommended speed limits.

Accommodation

We carefully select accommodation based on quality, comfort, location and service. Depending on your chosen tour and budget, you may stay in boutique guesthouses, safari lodges, luxury tented camps, camping sites or exclusive private lodges. Every property is chosen to enhance your Namibian experience.

Yes. Most accommodation establishments can cater for dietary requirements such as vegetarian, vegan, gluten-free and certain food allergies. Please let us know of any dietary requirements when booking so we can advise each establishment in advance.

Yes. Towels are provided at all lodges, guesthouses and permanent tented accommodation. For guests staying at campsites, towels are generally not provided unless specifically stated, so we recommend bringing your own or renting some from Melbic.

Yes. While many hotels, guesthouses and lodges offer complimentary Wi-Fi, internet access can be limited in remote areas of Namibia.

For added convenience, Melbic offers portable Wi-Fi devices for hire, allowing you to stay connected throughout much of your journey. These devices are ideal for navigation, messaging, checking emails and staying in touch with family and friends while travelling. Coverage is available in most towns and along many main travel routes, but like all mobile networks in Namibia, connectivity may be limited in remote wilderness areas and some National Parks.

Portable Wi-Fi devices can be added to your booking prior to arrival. Please ask your Melbic travel consultant for availability, data packages and rental rates.

Many lodges offer a laundry service, either daily or on request. Laundry services are usually available at an additional cost and may not be available at remote campsites or wilderness camps.

Yes. Many of our accommodation partners welcome children and offer family-friendly rooms or family units. However, some lodges have age restrictions due to their location, activities or safety considerations. We’ll recommend accommodation that best suits your family.

Some lodges are fenced, while others are located within unfenced wildlife areas where animals may roam freely. During your stay, always follow the safety guidelines provided by the lodge and avoid walking around after dark unless advised otherwise.

Most hotels, guesthouses and many lodges offer air-conditioned rooms. However, some remote lodges, luxury tented camps and eco-lodges rely on natural ventilation to minimise their environmental impact. Your accommodation details will indicate the facilities available.

Yes. Most lodges, guesthouses and many campsites provide electricity for lighting and charging electronic devices. However, some remote campsites and wilderness camps do not offer electricity, while others operate on solar power or generators with limited operating hours.

To help you stay powered throughout your journey, Melbic offers portable power banks for hire, ideal for charging mobile phones, cameras and other small electronic devices when electricity is unavailable.

Please speak to your Melbic travel consultant for more information, availability and rental rates.

While we make every effort to secure your preferred accommodation, availability can occasionally change before your booking is confirmed or due to unforeseen circumstances. If this happens, we’ll arrange accommodation of a similar or higher standard wherever possible and inform you as soon as practical.

Meal plans vary depending on the accommodation and will be clearly indicated on your itinerary. Most lodges and guesthouses include Bed & Breakfast (BB) or Dinner, Bed & Breakfast (DBB), while some luxury lodges may offer Fully Inclusive (FI) packages.

For guests staying at campsites, accommodation is generally self-catering, allowing you the flexibility to prepare your own meals. Many campsites offer communal kitchen facilities or braai (barbecue) areas, while some also have restaurants or cafés nearby where meals can be purchased.

Please refer to your itinerary for the meal basis at each accommodation, as this may vary throughout your tour.

Wildlife & Activities

Namibia is home to four of the Big Five—lion, leopard, elephant and black rhinoceros. While buffalo are only found in the far north-eastern Zambezi Region and are not commonly included in most itineraries, Namibia offers exceptional wildlife viewing, including cheetahs, giraffes, zebras, hyenas, countless antelope species and over 650 bird species. As wildlife is free-roaming, sightings can never be guaranteed, but every game drive offers a unique experience.

Wildlife can be viewed throughout the year, but the dry season (May to October) is generally considered the best time for game viewing. During this period, animals gather around waterholes, vegetation is sparse and temperatures are cooler, making wildlife easier to spot.

The green season (November to April) offers lush landscapes, spectacular birdlife, newborn animals and fewer visitors.

Namibia is famous for several remarkable wildlife species, including:

  • Desert-adapted elephants
  • Desert-adapted lions (north-west Namibia)
  • Hartmann’s Mountain Zebra
  • Black Rhinoceros
  • Cheetahs
  • Brown Hyena
  • Oryx (Gemsbok) – Namibia’s national animal
  • Springbok
  • Damara Dik-dik

Namibia is also home to Cape fur seals, flamingos and an incredible variety of birdlife.

Absolutely! Etosha National Park is one of Africa’s premier wildlife destinations and is often the highlight of a Namibian safari. The park’s famous waterholes attract a wide variety of wildlife, offering excellent opportunities to see elephants, lions, rhinos, giraffes, zebras and many antelope species, particularly during the dry season.

Some of Namibia’s most popular activities have limited availability and should be booked well in advance, especially during peak season. These include:

  • Hot air ballooning over Sossusvlei
  • Scenic flights
  • Sandwich Harbour tours
  • Living Desert Tours
  • Marine cruises in Walvis Bay
  • Dolphin and seal cruises
  • Quad biking
  • Sandboarding
  • Guided rhino tracking
  • Boat cruises on the Chobe, Okavango and Zambezi Rivers

Your Melbic consultant will gladly recommend and pre-book activities as part of your itinerary.

Yes. Self-drive game viewing is one of the highlights of travelling in Namibia. Parks such as Etosha National Park have excellent road networks that allow visitors to explore at their own pace while observing wildlife responsibly.

Both options offer unique advantages.

A self-drive game drive allows you to explore at your own pace and spend as much time as you wish at waterholes and wildlife sightings.

A guided game drive provides the expertise of experienced guides who know animal behaviour, tracks and the best locations for wildlife sightings. They also share fascinating information about the surrounding environment and conservation efforts.

Many travellers enjoy combining both experiences during their holiday.

Yes. Cultural visits to traditional Himba communities can be arranged in northern Namibia. These experiences offer valuable insight into one of Namibia’s most iconic indigenous cultures. We encourage all visitors to choose respectful, ethically managed tours that support local communities.

Wild animals should always be treated with caution. Never approach, feed or attempt to touch wildlife, even if animals appear calm. Always follow the safety instructions provided by park authorities, guides and accommodation staff. At unfenced lodges, avoid walking outside designated areas after dark unless accompanied by a guide.

Remain calm and keep a safe distance. Never block an elephant’s path or attempt to drive closer for photographs. If an elephant appears uncomfortable or displays warning signs, slowly reverse and allow it plenty of space to move away. Patience and respect are the keys to safe wildlife encounters.

No. Feeding wild animals is prohibited and can alter their natural behaviour, making them dependent on humans and potentially dangerous. Please enjoy wildlife from a safe distance and never offer food.

Baboons are intelligent wild animals and should never be approached or fed. Always keep your vehicle doors and windows closed when baboons are nearby and never leave food unattended at picnic sites or campsites. If a baboon approaches, remain calm and allow it to move away on its own.

Always keep a respectful distance and remain inside your vehicle unless you are in a designated area where it is safe to exit. Never attempt to approach wildlife on foot.

While sightings can never be guaranteed, Namibia is one of the best places in the world to see free-ranging cheetahs and black rhinos. Your chances depend on the area you visit, the time of year and, of course, a little bit of luck!

National Parks

This depends on your booking. National Park entrance fees are included in some itineraries but excluded in others. Your quotation and itinerary will clearly indicate whether park fees are included or payable on arrival.

Most of Namibia’s National Parks require visitors to pay an entrance fee or obtain a permit before entering. Popular parks include:

  • Etosha National Park
  • Namib-Naukluft National Park (Sossusvlei)
  • Waterberg Plateau Park
  • Bwabwata National Park
  • Nkasa Rupara National Park
  • Mudumu National Park
  • Skeleton Coast National Park (certain areas)

If your itinerary includes any parks requiring permits, we’ll advise you in advance.

Yes. Etosha National Park is one of Africa’s finest self-drive safari destinations. The roads are well maintained, clearly signposted and suitable for self-drive visitors. Simply follow the park rules, remain on designated roads and enjoy wildlife viewing at your own pace.

Gate opening and closing times vary throughout the year and are based on sunrise and sunset. Current gate times are displayed at each entrance gate and rest camp. We recommend planning your day to ensure you return to camp before the gates close, as late arrivals are not permitted.

Yes. Several National Parks offer campsites within the park, including Etosha National Park and Waterberg Plateau Park. Camping inside a park allows you to enjoy early morning and late afternoon wildlife viewing while staying close to nature.

Only in designated areas such as rest camps, picnic sites and viewpoints where it is clearly permitted. In National Parks, wildlife may be present at any time, so for your safety you should remain inside your vehicle unless signs indicate otherwise.

Remain inside your vehicle unless instructed otherwise by park staff. Wildlife may be nearby, even if it is not immediately visible. Contact Melbic as soon as possible and, where possible, notify the nearest park office or ranger. We will coordinate assistance and advise you on the safest course of action.

No. The use of drones is generally prohibited in Namibia’s National Parks without the necessary permits from the relevant authorities. This protects wildlife, visitor privacy and the natural environment.

No. Feeding wild animals is strictly prohibited. Human food can harm wildlife and change their natural behaviour, creating unnecessary risks for both animals and visitors. Please enjoy wildlife from a safe distance and allow animals to remain wild.

No. Driving off designated roads and tracks is strictly prohibited. Staying on marked roads protects the environment, prevents damage to sensitive habitats and ensures the safety of visitors and wildlife.

Speed limits vary between parks, but they are generally between 40 km/h and 60 km/h. Always obey the posted speed limits and drive slowly, as animals frequently cross the roads without warning.

No. National Park gates close at sunset, and visitors must be inside the park or have exited before the gates close. We recommend allowing plenty of travel time to avoid arriving late.

No. Pets are generally not permitted in Namibia’s National Parks to protect wildlife and prevent the spread of diseases.

These additional questions make the National Parks section more complete and provide practical information that helps visitors prepare for a safe and enjoyable safari.

Border Crossings

Yes. Melbic rental vehicles may be taken into Botswana with prior approval. Please let us know during the booking process if you plan to cross the border so we can prepare the necessary documentation and permits for your journey. Cross-border fees apply.

Yes. Victoria Falls is a popular addition to many of our self-drive holidays. Melbic rental vehicles are permitted to travel within Namibia, Botswana and South Africa (Cape Town). If you wish to visit Victoria Falls, we recommend driving to Kasane, Botswana, where we can arrange a convenient day transfer to Victoria Falls in Zimbabwe.

This option allows you to experience one of the world’s greatest natural wonders while complying with our vehicle travel policy and avoiding the need to take the rental vehicle across the Zimbabwean border.

Yes, but only for travel to Cape Town and with prior approval from Melbic.

If you plan to include Cape Town in your itinerary, please let us know when making your booking. We’ll prepare the necessary cross-border documentation and advise you of any applicable cross-border fees and travel requirements.

Please note that cross-border travel is only permitted to Cape Town. Travel to other areas of South Africa is not permitted unless authorised by Melbic.

When crossing a border with a Melbic rental vehicle, you will generally require:

  • A valid passport
  • Any required visas
  • Your valid driver’s licence
  • Vehicle registration documents
  • A Letter of Authorisation from Melbic
  • Cross-border permit documentation

Border requirements may differ between countries, so we recommend checking the latest entry requirements before travelling.

Yes. All Melbic rental vehicles travelling outside Namibia require prior approval and the appropriate cross-border documentation. We will prepare the necessary paperwork before your departure.

No. Cross-border charges, road levies, carbon taxes, toll fees and any other charges imposed by the country you are visiting are the responsibility of the traveller unless otherwise stated in your quotation.

Please contact Melbic immediately. If the original cross-border permit is not handed to the collection agent when returning the vehicle outside Namibia, an administration fee may apply, as replacement documentation and additional border charges may be incurred.

If you decide to travel outside Namibia after collecting your vehicle, please contact Melbic first. Cross-border travel must be approved in advance, and the necessary documentation must be issued before you leave Namibia.

Yes, provided you have complied with Melbic’s cross-border requirements. Cross-border travel requires CDW Option 4 or payment of the equivalent refundable excess amount before departure.

No. Melbic vehicles are only permitted to travel to approved destinations. If you are unsure whether your planned route is allowed, please speak to one of our travel consultants before your departure. This helps ensure your journey complies with our rental terms and that the appropriate documentation is in place.

During Your Tour

Before your arrival, you’ll receive Melbic’s emergency contact numbers. If you require assistance during your trip, simply contact us and our team will do everything possible to help you.

Please let us know as soon as possible if your flight is delayed. We’ll do our best to adjust your vehicle collection or accommodation arrangements where possible. Depending on the delay and supplier availability, additional charges may apply.

While we carefully plan every itinerary, unforeseen circumstances such as severe weather, road closures, supplier availability or other events beyond our control may require changes. If this happens, we’ll make every effort to arrange suitable alternatives so your holiday can continue with as little disruption as possible.

Yes, subject to vehicle availability. Please contact Melbic as soon as possible if you’d like to extend your rental. We’ll do our best to accommodate your request and advise you of any additional costs.

If you wish to change your accommodation after your booking has been confirmed, please contact us as soon as possible. Changes are subject to availability and may incur supplier cancellation charges, administration fees and any difference in accommodation rates.

Your health and wellbeing are important to us. If you become ill during your holiday, please seek medical attention as soon as possible and let us know if you require assistance. We strongly recommend comprehensive travel insurance to cover medical expenses, hospitalisation and emergency evacuation if required.

Occasionally roads may be affected by flooding, maintenance or other unexpected events. If this happens, we’ll advise you of the safest alternative route whenever possible. We recommend following official road closures and never attempting to drive through flooded roads.

Although Namibia is generally a dry country, heavy rainfall can occur during the rainy season, particularly between November and April. Some gravel roads may become slippery or temporarily inaccessible. We recommend reducing your speed, allowing extra travel time and following any advice provided by local authorities or the Melbic team.

Contact Melbic immediately. We’ll advise you on the quickest and safest solution based on your location. Please do not attempt to force the vehicle open, as this may cause unnecessary damage.

If your keys are lost or stolen, contact Melbic as soon as possible. We’ll assist in arranging a replacement where possible. Please note that replacement keys, transport and associated costs may be for the traveller’s account.

Our vehicles are equipped with the necessary tools to change a tyre. If you’re unable to do so safely, contact our office for assistance. If tyre repairs or replacements are required, please obtain authorisation from Melbic before any repairs are carried out to ensure reimbursement can be considered in accordance with your rental agreement.

Our clients receive emergency contact details before their journey begins. If you experience an urgent problem outside normal office hours, you can contact our emergency support number for assistance.

Namibia is generally a friendly country, and local craft markets are well worth visiting. Vendors may approach you to view their products, but a polite “No, thank you” is usually respected. Keep an eye on your personal belongings and avoid displaying large amounts of cash.

In larger towns you may occasionally be approached by people asking for money. If you prefer not to give, simply decline politely and continue on your way. We recommend supporting local businesses and community projects where possible.

If your vehicle has been broken into, first ensure your personal safety. Report the incident to the nearest police station, obtain a police report and contact Melbic as soon as possible.

Vehicle theft in Namibia is uncommon, but if it does occur, report it immediately to the nearest police station and contact Melbic as soon as possible. Do not attempt to recover the vehicle yourself.

If you discover new damage after returning to your vehicle in a parking area, or after leaving a parking area, or only upon arriving at your next destination, such as a campsite or lodge – take photographs immediately and contact Melbic as soon as possible. If another vehicle was involved, report the incident to the nearest police station where required.

If you discover new damage after returning to your vehicle, take photographs immediately and contact Melbic as soon as possible. If another vehicle was involved, report the incident to the nearest police station if required.

Visibility can decrease rapidly during a sandstorm. Reduce your speed, switch on your headlights and, if conditions become unsafe, pull over in a safe location away from the road until visibility improves. Avoid sudden braking or stopping in the middle of the road.

Payments, Changes & Cancellations

If you need to cancel your booking, cancellation charges will apply based on how many days before your arrival we receive your written cancellation.

Our standard cancellation policy is:

  • 61 days or more before arrival: 25% of the total booking value
  • 46–60 days before arrival: 50%
  • 16–45 days before arrival: 75%
  • 15 days or less before arrival: 100%

Please note that some accommodation providers have stricter cancellation policies, and any additional supplier cancellation charges will also apply where applicable.

Where possible, we’ll gladly assist you in changing your travel dates. However, postponements are subject to accommodation availability and the cancellation or amendment policies of our suppliers. Additional costs may apply if rates have changed or suppliers charge amendment fees.

If you decide to cancel your holiday, please notify us in writing as soon as possible. We’ll acknowledge your cancellation and advise you of any applicable cancellation charges based on your booking and the supplier terms.

We strongly recommend comprehensive travel insurance that includes cancellation cover for unforeseen circumstances.

Deposits are generally non-refundable once your booking has been confirmed, as they are used to secure accommodation, activities and other travel arrangements. Any refund will be subject to our cancellation policy and the cancellation terms of our suppliers.

All Melbic quotations and invoices are issued in Namibian Dollars (NAD). If you pay in another currency, your bank or payment provider will convert the amount using their applicable exchange rate. As exchange rates fluctuate daily and international bank charges may apply.

Yes, where possible. Changes requested after your booking has been confirmed are subject to availability and the cancellation policies of the accommodation providers. Any additional costs, rate differences or supplier cancellation charges will be for the traveller’s account.

Yes. Once your accommodation has been confirmed, changes may incur an administration fee per person, per accommodation establishment, in addition to any supplier cancellation charges or rate differences that may apply.

In many cases, this may be possible, depending on the suppliers involved. Please contact us as soon as possible, as name changes may be subject to supplier approval and additional administration fees.

In rare circumstances beyond our control, such as accommodation availability, severe weather or other unforeseen events, we may need to make changes to your itinerary. If this happens, we’ll arrange suitable alternatives of a similar or higher standard wherever possible and keep you informed throughout the process.

Should an accommodation establishment or activity provider become unavailable, we’ll make every effort to arrange a suitable alternative of a similar or higher standard. If this is not possible, we’ll discuss the available options with you before making any changes.

Travel insurance protects you against unexpected events such as trip cancellations, medical emergencies, flight disruptions, lost luggage and other unforeseen circumstances. At Melbic, we do more than just rent vehicles—we help you experience Namibia with confidence. Our modern fleet of reliable 4×4 vehicles is purpose-built for Namibian roads and maintained to the highest standards. Combined with our local expertise, personalised service and 24-hour support, you can enjoy your adventure knowing you’re in safe hands.

Our fleet consists of modern Toyota 4×4 vehicles that are generally no older than 2 to 3 years, depending on their mileage and overall condition. As Toyota releases new models, we regularly invest in expanding and renewing our fleet to ensure our guests enjoy reliable, comfortable and well-equipped vehicles for their self-drive adventure.

Every vehicle undergoes a comprehensive inspection before collection. Regular servicing is carried out according to the manufacturer’s service schedule, and each vehicle is checked to ensure it is clean, roadworthy and fully prepared for your adventure.

Our fully equipped camping vehicles include everything you need for a comfortable self-drive camping holiday. Depending on the vehicle selected, this may include:

  • Rooftop tent(s)
  • Mattress
  • Camping table and chairs
  • Refrigerator
  • Gas cooker
  • Cooking utensils
  • Cutlery and crockery
  • Pots and pans
  • Kettle
  • Water container
  • Recovery equipment
  • Basic camping accessories

The exact equipment included will be listed with your chosen vehicle and booking confirmation.

Every vehicle is professionally cleaned and inspected before collection. We take pride in presenting vehicles that are clean inside and out, allowing you to begin your journey comfortably and confidently.

Yes. We offer a range of optional extras, including additional camping equipment, child seats and other travel accessories. Please let us know your requirements when making your booking, and we’ll be happy to advise you on the available options.

When you collect your vehicle, one of our experienced team members will guide you through a comprehensive handover. This includes explaining the vehicle’s features, demonstrating any camping equipment, answering your questions and ensuring you’re comfortable before setting off.

We recommend allowing approximately 60 to 120 minutes for the vehicle handover. This gives us enough time to explain the vehicle, demonstrate the camping equipment (where applicable) and answer any questions before you begin your journey.

Yes. Complimentary transfers are provided between Windhoek and Hosea Kutako International Airport on the day of vehicle collection and return. Scheduled departure times apply, and we’ll provide full details before your arrival.

  • Tyre pressures

We also recommend downloading offline maps to your smartphone before your arrival, as mobile reception may be limited in some remote areas of Namibia.

Please speak to your Melbic travel consultant for GPS availability and rental rates.
